Add your professional email signature to Gmail in 7 easy steps. Works with personal and Google Workspace accounts.
You'll need a copied signature before following these steps
Follow along — it only takes about 2 minutes.
In the top-right corner of Gmail, click the gear icon to open Quick Settings. This panel lets you adjust display density and theme, but we need the full settings page.
Look for: Gmail settings
At the top of the Quick Settings panel, click the "See all settings" button. This opens the full Gmail Settings page where you can manage your signature.
Look for: "See all settings"
You'll land on the "General" tab by default. Scroll down until you find the "Signature" section — it's roughly two-thirds of the way down the page.
You should see: scroll to the "signature" section
Click the "+ Create new" button. A dialog will ask you to name your signature — use something descriptive like "Work Signature" or "Main Signature". Click "Create".
You should see: click "create new" and name your signature
Click inside the signature editor box, then paste your copied signature using Ctrl+V (Windows) or Cmd+V (Mac). Your formatted signature with images and links will appear in the editor.
You should see: paste your signature
Below the editor, you'll see "Signature defaults." Use the dropdowns to select your new signature for both "For new emails use" and "On reply/forward use" to apply it automatically.
You should see: set as default for new emails and replies
Scroll to the very bottom of the settings page and click the "Save Changes" button. Your signature is now active — send a test email to yourself to verify it looks correct.

Gmail may convert pasted images to external links. If your logo or photo isn't displaying, try sending a test email — images often render correctly in the received message even if they look odd in the editor.
Gmail supports multiple signatures. Create different ones for work and personal emails, then assign each to the appropriate sending address in Signature defaults.
The Gmail mobile app uses a separate, text-only signature. For HTML signatures on mobile, use the Gmail web app in your phone's browser to set it up — it will then appear in the mobile app.
Make sure your signature is selected in the "Signature defaults" dropdowns. If you have multiple sending addresses, each one needs its own default signature assignment.
